What this specialist va does for you

  • Full inbox triage with draft replies on routine items
  • Calendar management + meeting prep + agenda circulation
  • Travel + accommodation booking + itineraries
  • Board pack assembly + investor update drafts
  • Vendor + supplier coordination + invoice approval
  • Personal task management for the principal
  • CRM hygiene + contact maintenance (HubSpot, Pipedrive, Salesforce)
  • Expense categorisation + receipt management

A virtual executive assistant is the highest-leverage hire most AU founders can make. The cost is one-third the local equivalent. The hours saved show up in week one. The compounding effect, in our experience, is roughly 1.5x your effective capacity within 90 days.

If you have reached the point where your calendar runs you rather than the other way around, where your inbox is a part-time job and your week disappears into other people’s scheduling, a virtual EA is the role that gives the day back. Here’s what an executive virtual assistant placement looks like in practice.

A virtual EA is not a PA or an admin VA

The three roles get used interchangeably, and they shouldn’t be. An admin VA executes tasks you define and hand over: data entry, form filling, list building, the work that has a clear right answer. A personal assistant covers life logistics for one person, the bookings and household coordination that sit outside the business. An executive assistant works a level up from both. The defining trait is judgement: a virtual EA holds the calendar and inbox, decides what reaches you and what doesn’t, prepares you for the meetings that matter, and represents you to vendors and stakeholders without checking every step.

Put plainly, an admin VA needs instructions and a virtual assistant for executives needs context. You are not handing over tasks, you are handing over a function. If most of what you need is household and lifestyle support rather than business cover, a personal assistant is the closer fit. If it is the running of your working week, that is the EA role described here.

Who the EA is

Every DotVA executive assistant placement is one VA, dedicated to one principal. Not a shared pool. Not a help desk. The same person every day, building the knowledge that makes the role compound.

The pool we recruit from has prior EA or executive support experience (minimum 3 years, most have 5-8), strong written English (assessed before placement), and demonstrated discretion. We screen for the willingness to push back politely – an EA who only ever says yes is an EA you can’t trust with judgement calls.

What the EA owns

By week 4, your EA is owning:

  • Executive inbox triage. They read every inbound email, label by priority (urgent / FYI / waiting on / customer support / spam), draft replies for the routine 60-70% in your voice, and surface only the 5-10 a day that genuinely need you. You read 10 emails instead of 80. This is the heart of the role, and the discipline behind it is a real inbox management workflow, not just a forwarding layer.
  • Complex calendar management. Booking and rebooking across time zones, defending focus blocks, resolving the double-bookings before they reach you, sending agendas the morning of, and following up on action items after. Executive calendar management is less about slotting meetings in and more about protecting the hours that actually move the business.
  • Travel and accommodation. End-to-end booking for domestic and international trips, itineraries, calendar holds, lounge passes, and the rebooking when a flight moves at 6am.
  • Board and meeting prep. Pre-meeting briefs so you walk in across the detail, decks formatted, board packs assembled and circulated, minutes drafted, and action items tracked through to the next meeting.
  • Stakeholder and vendor coordination. Quote chasing, supplier confirmations, invoice approval, contract renewals, and being the steady point of contact so threads don’t stall waiting on you.
  • Light project and CRM hygiene. Keeping the deal pipeline and contact records clean in HubSpot, Pipedrive or Salesforce, nudging stalled tasks in Notion or ClickUp, and making sure nothing quietly falls off the board.

For specialist EA work (M&A document management, board secretariat, light bookkeeping), the placement still fits the specialist tier; we just brief the scope explicitly in week 1.

Confidentiality and judgement

An executive assistant sees the sensitive material by definition: board papers, investor updates, contracts, financials and the personal side of your life. That is the job, not an edge case. Every DotVA EA signs a confidentiality agreement before they start. Credentials move through 1Password Teams rather than email, access is scoped tightly with view-only wherever it will do the job, and we use prior executive support experience and a discretion screen as the bar for who gets presented to you in the first place.

Judgement is the other half. A good virtual EA knows which of the day’s decisions are theirs to make and which need you, and gets that line right more often as the context builds. We screen for the willingness to push back politely, because an EA who only ever says yes is one you cannot trust with a calendar or an inbox. The decisions that set a precedent, the genuinely awkward stakeholder call, anything with legal or financial weight: those route to you, with the context already gathered so you decide in two minutes rather than twenty.

Why Manila

Most DotVA EA placements are Manila-based. Three reasons:

  • AEST overlap. Manila is 2-3 hours behind AEST/AEDT. Live conversation any time before 4pm Melbourne.
  • English fluency. Philippine English is excellent in the BPO/EA pool. Reading + writing alignment with AU register is strong.
  • EA pool depth. We can present 3-5 vetted EA candidates within 7-10 days, vs 4-6 weeks for the same vertical specialism in Eastern Europe.

What you bring

For an EA placement to compound, you bring two things:

  1. A 30-minute weekly check-in in week 1-2, dropping to 20 minutes by week 4.
  2. A willingness to write things down. SOPs, preferences, recurring decisions. Your EA reads them. So does Claude when they use it.

Everything else – recruiting, onboarding, performance management, replacement coverage – sits with us.

Pricing

EA placements sit in our specialist tier: AUD $18-25/hr (excl GST). At a typical 20 hours/week placement, that’s AUD $1,500-$2,200/month. About 30% of the loaded cost of a local EA hire.

A $500 refundable deposit covers our recruiting + placement work. We replace at no cost inside the 30-day satisfaction window.

Executive support, tailored to your field

What an EA owns looks different depending on what you do. We set up virtual executive assistants for founders and CEOs, law firms, real estate principals, financial advisers, and accounting and bookkeeping firms. See the full virtual executive assistant overview for how it works in your field.

Common questions about hiring a specialist va

How much does a virtual executive assistant cost in Australia?

A virtual EA through DotVA is AUD $18-25/hr (excl GST), in our specialist tier. At a typical 20 hours a week that is roughly AUD $1,500-$2,200 a month, about a third of the loaded cost of a local EA salary once you add super, leave, payroll tax and a desk. There is no lock-in contract, and a $500 refundable deposit covers our recruiting and placement work.

What is the difference between a virtual EA and a PA or admin VA?

An admin VA handles defined tasks you hand them. A personal assistant covers life and household logistics for one person. An executive assistant works one level up: they hold judgement over your calendar and inbox, prepare you for board and leadership meetings, and coordinate stakeholders and vendors on your behalf. The test is whether the role makes calls in your absence, not just completes a list. If your needs are more lifestyle than business, a [personal assistant](/roles/personal-assistant/) may fit better.

Can my virtual EA work AEST hours?

Yes. Our Manila-based EAs work AEST or AEDT business hours by default, and Manila sits only two to three hours behind the east coast. Most EA placements run 8am-4pm Melbourne time, so you have live cover across the working day. If you need earlier starts or later finishes, we match that on the discovery call.

Can my virtual EA handle confidential and board-level work?

Yes, and it is the norm for this role. Every DotVA EA signs a confidentiality agreement on day one. Credentials are shared only through 1Password Teams, never plain email, and access is scoped tightly with view-only wherever it will do. EAs routinely handle board packs, investor updates, legal and financial documents and personal matters for the principal. We screen for prior executive support experience and demonstrated discretion before anyone is presented to you.

How fast can I hire a virtual executive assistant?

We typically present three to five vetted EA candidates within 7-10 days of the discovery call. You interview, you choose. Onboarding then runs week one as shadowing and tone calibration, week two as supervised execution, and by the 30-day review a good EA owns at least one major workflow such as inbox or calendar without daily oversight.

Is my EA dedicated to me or shared?

Dedicated. Every DotVA EA placement is one VA serving one principal. Not a pool, not a roster, not a help desk. The same person every day, building the context that makes the role compound.

Can my EA take phone calls on my behalf?

Yes for outbound (vendor follow-ups, supplier confirmations, scheduling). Inbound to your existing AU phone number requires a softphone setup we can configure in week 1, or a separate AI receptionist service (see /ai-services/ai-receptionist/).
